Who can read your conversations in a workspace, and what leaving does

Who in a workspace can read your conversations, what owners, admins and members can each do, and what leaving or being removed changes.

A workspace has no private conversations

You join a teammate's workspace and the sidebar fills with conversations you never took part in. Or you are about to invite someone into yours and wonder what they will see. Every member of a workspace can open every conversation in it.

  • Whoever started it. A conversation belongs to the workspace, not to the person who began it.
  • Including the past. A new member sees the whole history on the day they join. The Add members dialog says so.
  • With names attached. Your questions, the assistant's answers and your comments are visible to everyone, with your name above what you wrote. A comment is a message for teammates that the assistant does not answer. Some plans include them.

Your own workspace and a shared one

A workspace stays private only while nobody else is in it. The one Lexika named after you when you signed up, such as Sara's Workspace, is no exception.

To see who can read a workspace, look under its name at the top of the sidebar. A line such as Owner • 4 People gives your role and the head count.

To keep work to yourself, use a workspace with no other members. Select the workspace name and choose New workspace, if your plan allows another one. That button counts the workspaces you joined too, so being in a teammate's workspace can use up a place.

Conversations you start from Mini Apps in the sidebar, such as a Council or an Agentic Research run, belong to your account and sit outside every workspace. Teammates never see them, and switching or leaving a workspace leaves them as they are.

What the whole workspace shares

  • Pins. Only the owner and admins see Pin conversation in a conversation's menu and the pin button on its row. A pinned conversation moves into the Pinned group for every member.
  • Folders. Every member sees the same folders under Folders in the sidebar. When the owner or an admin deletes a folder, Lexika deletes every conversation inside it for everyone. The confirmation reads "All conversations in this folder will be deleted and cannot be recovered." Before you delete one, open it and choose Move out in the menu of each conversation worth keeping.
  • Deletions. When the owner or an admin deletes a conversation, it is gone for every member. If you had it open, Lexika closes it and shows "This conversation is no longer available".

Owner, admin and member

Select the workspace name at the top of the sidebar, then Settings, to open Workspace Settings. Its Members section names everyone. The creator is the Owner, and everyone who joins starts as a Member. The owner can make a member an Admin with Promote on that person's row, and undo it with Demote. On a wide screen, both appear when you point at the row. For an admin, the line under the workspace name in the sidebar still reads Member.

What this means in practice:

  • An admin still sees the owner's controls in Workspace Settings for the name, Credit Usage, Allowed models, Add members, Remove All Members and Disable workspace. Lexika refuses an admin's change to any of them with an error. Changes under Connected apps are the exception and do take effect.
  • Every member sees the add-people icon beside the workspace name (on a wide screen its tooltip reads Add members) and, once the workspace has a folder, Move to folder in a conversation's menu. Invitations go out only when the owner sends them, and moves work only for the owner and admins.
  • The owner cannot remove an admin. Press Demote on their row first, then the trash button, whose tooltip reads Remove. Remove All Members removes nobody while another admin is in the workspace, so demote every admin before you use it.
  • When the owner presses Disable on the Disable workspace row in DANGER ZONE, everyone can still read and export conversations. Nobody, the owner included, can send messages or rename, pin, move, delete, share or branch a conversation, and the workspace's Brains and connected apps go unavailable. The message box reads "This workspace is disabled, so messages can't be sent here." until the owner presses Enable on the same row.

Leaving, or being removed

Anyone except the owner can leave. In Workspace Settings, scroll to DANGER ZONE, press Leave workspace on the Leave from workspace row, and confirm. The row and the confirmation say "This action cannot be undone." You can come back only if the owner invites you again. After you leave, Lexika shows "You have left the workspace". If the owner removes you instead, Lexika shows "You no longer have access to this workspace".

If you own the workspace, you have no such row. Lexika has no way to hand a workspace to someone else.

Whether you leave or are removed, the result is the same.

  • Your access ends at once. The workspace and its conversations disappear from your sidebar.
  • Everything stays in the workspace. The conversations you started and every message you wrote stay there for the remaining members to read, with your name still on your messages. If the owner invites you back, you see the whole history again.
  • Lexika clears your unsent drafts. It removes from your device any text you typed in that workspace's conversations and never sent.
  • An app you connected stays connected. Every member's chats keep using your outside account. Disconnect it before you leave, or ask the owner to reconnect it with another account.

Before you leave

Export what you want to keep. Press the three-dot button on a conversation's row in the sidebar (on a wide screen it appears when you point at the row), choose Export, then pick MARKDOWN, PDF, HTML, JSON or CSV. Every member can export, one conversation at a time. Copy any unsent text you still need.

When a workspace is deleted

Only the owner can delete a workspace, with Delete Workspace on the Delete workspace and all its data row in DANGER ZONE. Lexika deletes its conversations, Brains and connected apps for every member, and the others see "You no longer have access to this workspace".

The row is missing while you have only one workspace in your list. If this is the only workspace you own, Lexika refuses the delete with an error, even when the row is there.
