Connected apps: whose account the assistant is using
Who can connect an app, whose account and credits every member's chats then use, what Disconnect leaves behind, and what an app's steps in an answer mean.
An app the whole workspace shares
Someone connected Notion, Higgsfield or PostHog, and now the assistant uses it in your chats.
A connection belongs to the workspace, not to the person who made it. The workspace owner or an admin signs in to the app with one outside account. From then on, the assistant can use that account in every member's chats. It acts as that account, and anything the app charges for comes out of it.
Where you see it
Open Workspace Settings by pressing your workspace's name in the sidebar and then Settings, or with Manage apps at the bottom of the + menu in the message box. Its Connected apps section has a panel for each app:
- Account is the outside account the assistant uses, if the app names it. Every member can see it.
- Connected by is the member who signed in, and Since is the date.
- Once the app is connected, a line such as 14 tools lists what the assistant can do there.
Only the owner and admins get the Connect, Reconnect and Disconnect buttons. Everyone else reads Only the workspace owner and admins can connect or disconnect apps.
What each app can reach

The assistant works with whatever the connected account can reach. For Notion, the tool list includes list private pages, and any member can ask the assistant to read pages there or to create and change them.
Lexika saves what an app sends back with the answer. Open a step to see it, usually under Result. Anyone in the workspace who can open the conversation can open it too. A shared link shows the text without the steps.
Who pays for what
- The app's work. Lexika takes no stars for it. The app bills the connected account, for example its Higgsfield credits.
- The assistant's answer. It costs stars like any message. Each app step is another round with the model, which rereads the conversation, the app's tools and what the app sent back. The rounds add up, so an answer that uses an app usually costs more than a plain one. - Later messages. While an app is picked, every message in the conversation sends the app's tools to the model. After an answer uses an app, the next four answers start with it open and carry what it did. Both add stars, so remove the pick when you're done with the app.
- Jobs that finish late. Lexika's checks on a job after the answer has ended cost no stars.
A plain request for a picture usually goes to Lexika's own image tool, which costs stars, and its step reads Generated image. Name or pick the app to have it make the picture instead, and the step reads Made an image with Higgsfield.
Using an app in a chat
You don't have to pick an app. The assistant opens one when your request involves it, and the answer lists each step, such as Opened Notion and then Used Notion: search.
To point a conversation at one app, open + and press it under Apps, or type / and choose Use Notion. A chip with the app's name then sits in the message box. To remove it, press its ✕ (the tooltip reads Stop using this app), choose No app after typing /, or press the app again under +. The pick applies to that conversation, for you alone, in this browser or app.
Removing the chip only drops your pick. The assistant can still open any connected app when a request involves it. Only Disconnect keeps an app out of every chat.
Apps under Connect an app or Available apps open that app's panel in Workspace Settings, where only an owner or admin can connect it.
- If an answer shows no app steps although you picked the app, the model that answered most likely cannot use apps. Pick another model and ask again.
- Mini Apps such as Council and Agentic Research don't use connected apps.
When an app step reports a problem
- Notion limit reached for this response. By default, one answer may make 16 calls to an app, and 8 of them may change something or spend credits. Higgsfield and PostHog allow more. An answer may also wait on apps for about 5 minutes in all. Ask the assistant to continue in a new message.
- Higgsfield didn't answer. No reply came back, but the call may still have gone through. Ask the assistant to check the job or the balance before repeating anything that spends credits.
- Higgsfield was still working when the answer ended. Lexika checks on a picture, video or voice clip for up to an hour after the answer and drops the result into it for everyone. This line means Lexika stopped checking before the job finished, because the hour ran out or it couldn't reach the app. Opening the conversation again makes Lexika look once more.
- Notion needs reconnecting. The app stopped accepting Lexika's sign-in because access was withdrawn or ran out, and the panel now reads Needs reconnecting. In the + menu, owners and admins see Reconnect beside the app, and members see Needs reconnecting. Answers go on without the app until an owner or admin reconnects it.
Some steps carry buttons. Check again sits under a job that was still working. Use free generations and Use credits sit under Higgsfield asks whether to use your free generations. A finished picture or video has icon buttons whose names, such as Upscale, show when you hover. Each button writes a message into the box and picks the app. Nothing happens until you send it, and a sent message costs stars.
Leaving, reconnecting and disconnecting
- The person who connected leaves. The connection keeps working on their account, and Connected by reads Former member. Only deleting the workspace removes connections on its own.
- Reconnect. Whoever reconnects becomes Connected by, and the account they sign in with becomes the one the assistant uses. An abandoned sign-in leaves the old connection working.
- Disconnect. After you press Disconnect in the Disconnect Notion? dialog, Lexika deletes its copy of the sign-in and the app stops working in every chat at once. Past answers keep their steps. Lexika does not ask the app to withdraw its access.
Advice for owners and admins
Connect an account whose data and credits you are happy for every member to use. A shared team account is safer than a personal one.
- Finish the sign-in within 10 minutes. Only the person who pressed Connect or Reconnect can finish it. The desktop and mobile apps finish it on the Lexika website in a browser, so sign in there with the same Lexika account. Otherwise the page reads Couldn't connect the app and The sign-in expired or was already used.
- When the person who connected leaves, reconnect with another account or disconnect. Then ask the outside account's owner to withdraw Lexika's access at the app too, if the app lets them.
